Purpose of the policy
This policy sets out how we will collect, process, store and use the information we hold about you. We take the protection of your privacy and confidentiality seriously and we understand that you are entitled to know that your personal data will not be used for any unintended purpose and will not accidentally fall into the hands of a third party.
We undertake to preserve the confidentiality of all information you provide to us. Our policy complies with UK law accordingly implemented, including that required by the EU General Data Protection Regulation (GDPR).

Except as set out below, we do not share, or sell, or disclose to a third party, any personal data we collect.
What personal data do we collect?
In most cases we collect personal data about you only when you give it to us. This can include your name, email address, postal address, telephone numbers and date of birth. We collect personal data about you when you:

- register with us as a member or for one of our services;
- are appointed to deliver a service on our behalf;
- make a donation to us;
- sign up for an event or training;
- engage with our social media or message boards;

The basis on which we process information about you

Information we process because we have a contractual obligation with you
When you register to become a Grow Wakefield member, subscribe to any of our services, are appointed to deliver a service on our behalf, a contract is formed between you and Grow Wakefield Limited.
In order to carry out our obligations under that contract we must process the information you give us. Some of this information may be personal data.
We may use it in order to:
- verify your identity for security purposes;
- provide you with our services;
- provide you with suggestions and advice on products, services and how to obtain the most from using our website.
We process this information on the basis there is a contract between us, or that you have requested we use the information before we enter into a legal contract.
Additionally, we may aggregate this information in a general way and use it to provide class information, for example to monitor our performance with respect to a particular service we provide. If we use it for this purpose, you as an individual will not be personally identifiable.
We shall continue to process this information until the contract between us ends or is terminated by either party under the terms of the contract.
Information we process with your consent
Through certain actions when otherwise there is no contractual relationship between us, such as when you browse our website, ask us to provide you with more information about our business, including our services, sign up to receive our e-bulletin, comment on a blog post on our website, add an event on our website, you provide your consent to us to process information that may be personal data.
Wherever possible, we aim to obtain your explicit consent to process this information, for example, when you sign up to receive our e-bulletin.

Information we process because we have a legal obligation

Information we process because it is in our legitimate interest to do so
We can process your personal data if we have a genuine and legitimate reason and we are not harming any of your rights and interests by doing so. We will process the personal data you have supplied to us to conduct and manage our business to enable us to give you the most appropriate information, service and products. Information provided on the understanding that it will be shared with a third party
Our website allows you to sign up to receive our monthly e-bulletin featuring Grow Wakefield news, events, jobs and training opportunities related to the voluntary and community sector locally and nationally.
We use MailChimp to send these communications. If you choose to receive them your email address, first name and surname will be stored on our secure account with MailChimp. Your data will only be used for the purpose of sending you our communications as described above. You can unsubscribe at any time by clicking the link at the bottom of the emails.
Job application and employment
If you send us information in connection with a job application, we may keep it for up to six months in case we decide to contact you at a later date.
If we employ you, we collect information about you and your work from time to time throughout the period of your employment. This information will be used only for purposes directly relevant to your employment. After your employment has ended, we will keep your file for seven years before destroying or deleting it, unless we are required to keep it longer to comply with our funding agreements.

- The right to be informed about how we use your personal data.
- The right to request a copy of all the information we hold about you. You will need to give adequate information (for example full name, address, date of birth etc). We will generally provide the information free of charge and are required to respond to you within one month. You will be required to provide identification before any information is released to you.

- The right to request erasure of your personal data where there is no compelling reason for its continued processing. This may limit the service we can provide to you.
- The right to request that we restrict the processing of your personal data in certain circumstances.
- The right to data portability which, subject to certain conditions, allows you to obtain and reuse your personal data across different services.
